Transporting your bike to another state within India is a straightforward process. Go and inquire at your nearest railway station's parcel office, and they will provide you with all the information you need. I recently got my bike transported from Odisha to Karnataka, and in this article, I will tell you everything you need to do.

Note: Not all railway stations have a parcel office. Small stations usually do have this facility, so contact your station at the earliest to know if they have a parcel office or not.

There are two scenarios: you will be traveling with the bike on the same train, or you won't be. In my case, I came to Karnataka via flight, and my bike reached here two days later by train.

If you will be traveling via train with your bike, you have to mention the PNR number of your ticket in the form that the parcel office will provide you with. We will talk about this in a while.

Steps to Transport Your Bike

Step 1: Empty the Petrol Tank

Empty the petrol tank of your bike completely to the level that your bike won't even start. If you can't do this, carry a bottle with you, and the "coolie" there will siphon the petrol from your bike for you.

Step 2: Visit the Parcel Office

Go to the parcel office and tell them you need to transport your bike. They will ask for xerox copies of your Aadhar/Driving License and your bike's RC (Original to see, Xerox to keep). If you do not have a physical RC, they also accept DigiLocker for verification.

Step 3: Fill Out the Form

After verification, you will be given a form like below and will be asked to fill it out.

You will have to fill in the following details:

  1. Your name
  2. At the top, write "Packing condition not compliant with" as this is not standard railway packing for bikes. The standard one will cost you INR 10,000-15,000 as it gets packed in wooden boxes for complete safety.
  3. "Petrol tank empty," "Old and used."
  4. Write your source and destination address, your phone number, and Aadhar number.
  5. Write the chassis number, registration date of the bike, number plate, and engine number of the bike. All this information will be there in your RC.
  6. The form will also ask you to write an approximate market value of your bike, which will be reimbursed if your bike is stolen/lost by the railways. If you quote an amount less than INR 50,000, you will not have to provide any additional documents. 1% of this amount gets added to the final amount.

Step 4: Pack Your Bike

You then have to get your bike wrapped/covered/packed. The "coolies" there will do that for you and charge somewhere around INR 300-500 for the same. I suggest letting them do that as they will also load your bike onto the train. You can pack your bike yourself too if you wish and pay the coolie some amount to get it loaded onto the train safely.

Step 5: Marking and Minor Payments

After the bike has been packed, it will be marked with the source and destination address from all four sides with a marker, and the person doing that will ask you to pay somewhere around INR 10-50. Give it to him. It is illegal, but this is how Indian railways work if you want to transport your bike safely.

Step 6: Generate a Ticket

After filling out the documents, give them back to the parcel office officer, and they will generate a ticket for it. The fare will be around INR 2,000 to INR 3,000. Most likely, they will ask for cash and not UPI or card, so keep the cash handy.

Step 7: Keep Your Ticket Safe

After the payment, you will receive a ticket. Keep it safe, as you will get your bike back only if you show this same ticket to the destination railway station parcel office (no xerox, no color printout, no image works). Keep it super safe.

You will receive updates about the bike and a message when the bike has reached the destination station. Go and collect it within 6 hours of arrival; otherwise, you will be charged INR 10 per hour for each hour of delay.

Step 8: Collect Your Bike

Reach the destination station's parcel office and show them this slip. Note: Take a small bottle of petrol with you when you go to receive the bike.

The person who will hand over the bike to you after removing the packing might ask you for INR 50-200 for the same.

After this, you are free to take your bike and go.

Additional Information

According to laws, you can temporarily keep your bike in a different state from where it is registered for a period of one year. If you plan to completely shift to a new state, then get your NOC from the old RTO and transfer the bike registration to the new RTO of the state/city you wish to go.
